When the original Sage X3 project was scoped in 2016, ERGOMED Group was operating within a complex, international and highly project-driven financial environment.
At the time, the organisation was managing 48 live studies. Contracts could run for two to three years and included a combination of unit-based and milestone-based billing. Project costs were often incurred by one Ergomed entity before being recharged to customers or across other group entities, creating a substantial requirement for intercompany accounting and granular project-cost management.
The finance team needed to match costs and revenue by study, customer and revenue type. It also needed the flexibility to analyse and consolidate project costs in different ways across the group.
These requirements were complicated by several manual and inconsistent processes. Purchase-invoice approvals were handled differently across the organisation, payments required significant manual effort, and high volumes of foreign-currency transactions made bank reconciliation time-consuming. Different entities also used individual mappings to produce standard profit-and-loss and balance-sheet reporting.
The organisation’s objectives included centralising accounting within a shared-service centre in Zagreb, establishing a common chart of accounts across its companies and introducing the new system through a phased country-by-country rollout.

The original Sage X3 solution was designed as a single, study-centric and finance-centric environment. It brought together Sage X3 financials with project tracking by study, task, quantity, unit cost, budget, actual cost and revenue. The proposed design focused on creating one version of the truth, reducing duplication and giving users access to role-relevant information.
Mysoft helped ERGOMED Group implement Sage X3 from the beginning of its journey with the platform, initially on Sage X3 version 9.
The implementation scope included financial management, accounts payable and receivable, general ledger, purchasing, sales, fixed assets, treasury, common data, workflow notifications and business intelligence. The project also included system training, data-migration support, analysis workshops, advanced configuration and go-live support.
Sage X3 provided ERGOMED Group with an international financial platform around which data from its country operations could be brought together. As the group and its requirements evolved, Mysoft continued to support the system through multiple Sage X3 upgrades.
ERGOMED Group now brings data from its operations across 26 countries into Sage X3. This provides the organisation with reporting insight across its international data from within the central Sage X3 environment.
ERGOMED Group began its Sage X3 journey on version 9 and has since completed multiple upgrades with Mysoft. This ongoing development has enabled the organisation to continue using and evolving its Sage X3 environment as its international operations and reporting requirements have progressed.
The relationship has extended beyond the original implementation. Mysoft has continued to provide consultancy, technical knowledge, customer-success management and support throughout ERGOMED Group’s use of Sage X3.
Mysoft has had a really good impact on our business. We operate in 26 countries, and all the data from these 26 countries flows into Sage X3. We are able to get reporting insights into that data as well.
