Bill of Material

The Bill of Materials, or BOM, is the list of raw materials needed to produce the finished product. Within Sage X3 these materials can be added as percentages as well as fixed units. This means that whatever final quantity of finished product is needed, 3, 27 or 1,345, the Bill of Materials will always be able to show exactly how much of each material is needed. This is a great scalable feature for growing businesses. No matter how much the volume of products is increased, the system will still be able to provide the quantity of raw materials needed.

Accuracy Features

There are a number of accuracy features in Sage X3 that make a real difference to an end product. Quantities on the Bill of Materials can be added with up to 14 decimal places, providing precise manufacturing control. Sage X3 also has a percentage scrap feature, so if a machine will always waste 2% of a material during the process of manufacturing, you can build this into the BOM. The system then knows to add an extra 2% of the material into the process to ensure the end product isn’t compromised, which is automatically reflected in your costs. Through this minute detail, Sage X3 gives you complete visibility of costs and stock levels.

Rules exist within the system to specify what status drugs are received in as: typically set as Quality Controlled Managed, with the option available of Technical sheets (a series of on screen checks and questions before stock is received or released to Accepted (A*)).

A product can have a status of either Rejected (R*) (for example a customer return), Quarantine (Q*), Released or Accepted (A*). Only when stock is released to status Accepted (A*), will the system allow it to be allocated to a Customer Order or a Manufacturing Work Order.

This is standard functionality in the system, however, when paired with the Mysoft Pharmaceutical Pack, you can allow full regulation of stock release down to a specific individual and specific status or sub-status combination.

Quality Control For Pharmaceutical

Through Sage X3 pharmaceutical companies will be equipped with the tools to demonstrate compliance, including:

  • Detailed and historical audit trails. This is standard functionality in Sage X3 and includes user name, date, time, previous data, new data and the reason for the change.
  • Electronic signature framework. This includes tables, programs, actions and objects to store, configure and collect unique e-signatures, which are permanently linked to the object and cannot be modified or copied.
  • Document signatures. Documents requiring handwritten signatures, such as Certificates of Analysis or Technical Sheets, are generated with an image linked to the specific document. The image plate is controlled and linked to the user profile.
  • Validation workflows. These can be customised depending on the company but can be set up to, for example, not allow release of a drug into stock until the QP has had final, password controlled, sign off.
  • Security features. Several security standards safeguard against unauthorized use, including automatic logoff after a period of inactivity, auto logout after too many failed logon attempts and logging of all user activity. Functional access control can also be tailored and/ or limited to specific fields that may contain sensitive information.

Adhering to regulations not only provides companies with the relevant licenses to continue to trade but also sees reductions in system vulnerability, lower compliance-driven costs and shorter validation times. Mysoft's Falsified Medicines Directive (FMD) Interface Pack for Sage X3

On 9th February 2019 New Regulations Came Into Force Covering The Distribution Of All Prescription Only Medicines.  Post-Brexit this is no longer required within the UK but may still pertain to organisations operating within the EU. 

 

Manufacturers and parallel distributors are required to change their packaging to include an anti-tamper proof device, additional human-readable information and include a 2-D barcode. In addition, they are required to upload the data into a Europe-wide database for verification and de-commissioning of medicine packs by end users.

Access to the European FMD database is controlled via the National Medicine Verification System (NMVS). Mysoft is a registered software supplier and has created an interface to allow verification and de-commissioning of medicine packs. The interface has successfully been deployed at a major pharmaceutical business in the UK.
